Position Title: Administrative Assistant- Holiday Park Apartments & Townhomes
Position Reports to: Property Manager
Primary Schedule: Full Time, 40 hours per week consisting of four workdays Monday through Friday, plus Saturdays. The weekday off is flexible.
Qualifications: Position Requirements:
· Superior customer service and interpersonal skills with a strong ability to work cohesively with others
· Effective communication skills including active listening, verbal and written
· Ability to multi-task while working in a fast-paced environment
· Organizational skills with the ability to prioritize issues and tasks paying strict attention to detail
· Moderate computer skills, proficient within Microsoft Office applications including Outlook, SharePoint, Excel, Word, internal applications, and property management software
· Professional attire/dress
Job Dimensions: Essential Duties and Responsibilities:
· Receive, direct, and assist all incoming telephone calls as needed
· Direct/assist visitors and vendors as needed
· Assist Residents with service requests and communicate them to the service team
· Facilitate both Resident and Staff communications with all departments
· Documenting interaction with Residents, data entry and filing
· Processes Tenant Screening applications and prepare for manager review
· Assist and support Leasing Consultants, Assistant Managers and Managers with regular and periodic research and reporting
· Assist the AR Manager with preparing incoming rent payments and laundry money deposits
· Timely ordering of necessary office supplies
· Prepares inventory billings and reports
· Keeps office environment neat and filing areas in an organized-orderly condition
· Perform other tasks as directed by the Assistant Manager, Property Manager and or Executive Management
Physical Requirements:
Ability to sit for long periods of time. Frequently required to stand, bend, reach overhead and occasionally lift office products and other items up to 25 lbs. Frequently required to walk long distances within the work site and climb stairs to walk properties/communities. Regularly required to talk and hear to communicate and exchange information via phone, computer, or other electronic devise, and have the ability to see both near and far with or without accommodation.
